Calendar
Nix It syncs with your Microsoft Outlook calendars, giving you a view of your events alongside your email and tasks. The calendar also integrates with the Nix It system, allowing you to create trackable items from events.
Viewing Your Calendar
Accessing the Calendar
Click the calendar icon in the sidebar to open the calendar view.
Views
Toggle between views using the buttons in the top right:

Navigating Dates
- Use the < and > arrows to move between months/weeks
- Click Today to return to the current date
- Today's date is highlighted
Multiple Calendars
If you have multiple calendars in Outlook, they all appear in Nix It.
Calendar Visibility
Toggle which calendars are visible in the sidebar calendar list. Each calendar has its own color for easy identification.
Calendar Colors
Events are color-coded based on their source calendar. This helps you quickly distinguish between work events, personal events, shared calendars, etc.
Creating Events
New Event
Click the + Event button in the top right of the calendar view, or click on any empty time slot.
Event Details
When creating an event, you can set:

Sending Invitations
When you add attendees, they receive calendar invitations via email. You can mark attendees as Required or Optional.
Creating Items from Events
This is a Nix It-specific feature that lets you turn calendar events into trackable items.
Why Create Items from Events?
Some meetings and events require follow-up work. Instead of just having the event on your calendar, you might want to:
- Track preparation tasks before a meeting
- Follow up on action items after a meeting
- Remember a deadline that's represented by an event
By creating an item from an event, you bring it into your Nix It workflow where you can enrich it with tags, checklists, and notes.
Automatic Item Creation
By default, new calendar events automatically appear in your Intake as items. You can disable this in Settings if you prefer to keep your calendar and task management separate.
Manual Item Creation
If automatic item creation is disabled, or for existing events that don't have items:
- Click on an event in your calendar
- In the event details, click Add to Intake
- The event becomes an item in your Intake
This lets you selectively decide which events deserve tracking in your Nix It workflow.
When to Use This Feature
Good candidates for items:
- Important meetings that need preparation
- Deadlines you need to actively track
- Events with follow-up actions
Keep as calendar-only:
- Routine recurring meetings
- Time blocks you don't need to track
- Informational events (holidays, reminders)
Event Status Indicators
Events in your calendar show visual indicators for their status:

| Red indicator | Canceled event |
Responding to Invitations
When you receive a calendar invitation, you can respond directly from Nix It:
- Accept: Confirm your attendance
- Tentative: Indicate you might attend
- Decline: Indicate you won't attend
Your response is synced back to Outlook and sent to the organizer.
Calendar Settings
Customize calendar behavior in Settings:
Create Items for Events
- On: New events automatically appear in your Intake
- Off: Events stay in calendar only (use "Add to Intake" for specific events)
Remove Declined Events
- On: Declined events are removed from your calendar view
- Off: Declined events remain visible (useful for awareness)
Tips for Calendar in Nix It
- Be selective about items: Not every meeting needs to be tracked—use items for events that require active work
- Use the calendar for time awareness: Even if you don't track events as items, the calendar helps you see your schedule
- Prepare for important meetings: Create an item from an upcoming meeting, then add a checklist of prep tasks
- Follow up after meetings: If a meeting generates action items, the meeting item becomes your tracking point
